About RICCA
Rising Capacities for Children Africa (RICCA) is a grassroots NGO working to improve the wellbeing and learning outcomes of underserved rural children and families. We implement community-based education and child development initiatives.
We are seeking a committed individual to support the strengthening of our financial and accounting systems for our project based in Kirinyaga County.
Role Purpose
RICCA is seeking a Volunteer / Part-Time Financial Accountant to prepare and maintain core financial systems at project level. The role is critical to ensuring transparent fund management, proper documentation, payroll preparation, and donor-ready financial reporting.
The role will initially focus on system setup and documentation (first 2β3 months), and then transition into routine financial preparation, reporting, and capacity strengthening.
This role is ideal for someone who enjoys building systems, is comfortable working with small teams, and understands finance management processes in NGO or donor-funded environments. The role involves regular remote collaboration, with occasional coordination meetings (once or twice per month) to support alignment and oversight.
Key Responsibilities
1. Accounting Systems & QuickBooks
- Prepare and maintain a simple, donor-compliant accounting system using Excel and QuickBooks (basic to intermediate level)
- Develop bookkeeping processes and a chart of accounts aligned to project budgets and donor requirements
- Maintain accurate, up-to-date financial records and reconciliations
- Prepare clear, donor-friendly financial reports for review and approval
2. Payroll & Payments Preparation
- Prepare monthly payroll documentation (payslips, timesheets, statutory deductions where applicable)
- Prepare payment documentation for staff, facilitators, and suppliers
- Support the design of compliant payroll and payment schedules
- Ensure all payments follow approved workflows and organizational policies
3. Documentation, Controls & Compliance
- Prepare and organize payment vouchers and supporting documents (digital files for audit readiness)
- Prepare procurement documentation and requisition processes
- Operationalize petty cash procedures in line with approved policy
4. Budgeting, Reporting & Oversight
- Support budget review and expenditure tracking
- Prepare financial information for board and donor discussions
- Support readiness for audits and future donor assessments
Expected Outputs
- Functional chart of accounts aligned to donor budgets
- Clean, up-to-date monthly financial records
- Payroll and payment documentation prepared for approval
- Simple, accurate donor-ready financial reports.
Skills & Experience
- Practical accounting or finance experience (NGO or donor-funded projects preferred)
- Hands-on experience with Excel and QuickBooks or similar accounting software
- Experience setting up or improving finance systems from scratch is a strong advantage
- Ability to explain financial processes clearly to non-finance teams
- Collaborative, ethical, and comfortable working in a small organization
- Understanding of donor accountability and financial compliance
